The AP Officer will join IMC’s Finance team in Sydney, working directly with the AP Supervisor to run accounts payable, payments and settlements across multiple legal entities in various APAC jurisdictions, with multi-currency payments in AUD, USD, HKD, KRW and JPY. The role sits within a lean, two-person AP operations team and plays a critical part in ensuring supplier payments, intercompany settlements and the daily cash movements that keep a trading business running are accurate, controlled and on time.
Two near-term priorities shape the role: AP automation, where you will own the exception queue and help tune the process in Workday Financials until most invoices flow straight through; and building resilience into our operations, so payments and settlements run cleanly every day, including when a colleague is away. This is not a shared-services AP role. It is a broad and substantive role from day one in a lean, high-performing team where you will own real outcomes and work closely with the Finance Managers, the Financial Controller and Treasury.
Your Core Responsibilities
Accounts Payable
Process supplier invoices end-to-end in Workday, coding to the correct entity, cost centre and GL account, and routing for approval
Own the AP exception queue, resolving coding, matching and approval exceptions directly with budget owners rather than escalating them
Handle cross-entity invoices
Maintain supplier master data and independently verify new or changed supplier bank details before any payment is released
Respond to supplier queries with remittances; reconcile supplier statements and resolve differences
Payments & Settlements
Prepare the weekly payment run and daily settlement runs, both EFT and manual payments, with complete supporting documentation for independent review and dual approval
Prepare intercompany settlements and funding requests across APAC entities, and work through payment differences with the Finance team
Process tax, statutory and charity payments on instruction from the Finance team, on time and to deadline
Treasury Operations
Set up intra-group and onward cash transfers on Treasury’s instruction across multiple banks and currencies, and track each one through to settlement
Investigate returned, rejected or unidentified payments, including SWIFT queries, beneficiary details and correspondent bank issues, and resolve them with the bank
Support bank administration, including account forms, signatory and user changes, KYC and periodic reviews, and follow up with banks until closed
Escalate early: anything stuck with a bank or counterparty beyond agreed timeframes goes to the AP Supervisor with a clear summary and proposed next step
Month-End, Controls & Automation
Support month-end close, including AP cut-off, accrual inputs, and AP sub-ledger and bank reconciliations
Apply correct GST and indirect tax treatment on invoices, including foreign-supplier invoices
Work with the AP Supervisor on AP automation, testing, refining coding rules and feeding back on exceptions to raise the straight-through processing rate
Document procedures as runbooks so every process can be picked up by another team member
Your Skills and Experience
2-6 years of experience across accounts payable and payments or treasury operations
Experience preparing payment runs and reconciling bank accounts in a multi-entity environment
Working knowledge of tax invoice requirements
Strong Excel skills and high attention to detail, comfortable handling large, multi-currency payment values
Confident following up with banks, suppliers and senior stakeholders until items are closed
Workday Financials experience, or another ERP such as SAP, Oracle or NetSuite, is preferred but not required
Experience with cross-border, multi-currency payments and familiarity with SWIFT messages is an advantage but not required
Exposure to banking in Hong Kong, Korea or Singapore is an advantage but not required
Exposure to AP automation, OCR or invoice-capture tools is an advantage but not required
An owner, not a router, resolving exceptions yourself and escalating only what needs a decision
Control-minded, never releasing a payment without the right approval and always checking bank details properly
Calm under time pressure, planning around value dates and bank cut-offs
Quick to escalate, raising a stuck item in days, not weeks
Curious about technology and process improvement, with an interest in automation
