The posting, as the company wrote it
PERGOLUX Custom Design is growing fast in Poland, and as our HR & Administration Specialist you will be the first on-site People Operations hire for our Bielany Wrocławskie site. You will own Polish labour-law guidance for local management, run contracts, HR administration and payroll input, build our cooperation with temporary employment agencies ahead of the spring season, and be the Polish-speaking point of contact for employees and authorities. This is a role with real ownership: you will shape how People Operations works at the site from the ground up and grow with it as headcount scales.
PERGOLUX designs and sells premium, Scandinavian-inspired outdoor living products, from pergolas to garden furniture, directly to consumers. We are a fast-growing team of around 300 people with 9-figure revenue, operating across 8 markets in Europe, Australia, North America and Latin America.
What You'll Do
- Act as the on-site reference for the Polish Labour Code, advising the Plant Manager and local leads on working time, overtime, settlement periods, leave, fixed-term contract limits, terminations and consultation requirements; prepare recommendations for the Head of People Operations and support the implementation of new obligations as headcount grows
- Own contracts and HR administration: prepare and file employment contracts, handle hiring and leaving documentation, provide payroll data to the external provider, answer payslip and replacement questions, maintain attendance records and administer non-wage benefits
- Build and manage temporary employment agency partnerships: negotiate framework agreements, plan volumes with the Plant Manager, place staffing orders, onboard agency and seasonal workers on arrival (PPE, BHP induction, medical checks, access, first-day setup), monitor attendance and worker quality, and reconcile agency hours before invoicing
- Serve as the first point of contact for employees and Polish authorities, lead internal communication, coordinate recruitment for full-time roles, and prepare work schedules and holiday planning for permanent and external employees
- Shape the culture on site and run the Polish office: create a welcoming, respectful environment for permanent, agency and seasonal staff, organise team and engagement activities that drive low turnover, and manage supplies, weekly food orders, facilities, visitors and local administration
What You'll Bring
- Solid working knowledge of the Polish Labour Code, including working time, overtime, leave entitlements, fixed-term contracts and terminations
- Hands-on experience in HR administration and payroll data input, ideally gained in a production, warehouse or manufacturing environment
- Experience working with temporary employment agencies and managing a seasonal or rental workforce
- Fluent Polish and strong English, as you will report to the Head of People Operations in English and bridge the local team with the international organisation
- Experience with office management and local administration is a plus
💼 Compensation — Competitive salary · Company pension plan · Capped overtime, fully paid · Private health insurance
🚀 Growth and Career Development — You will take real ownership from day one with direct impact on how our Polish site runs, work with an international, collaborative team across Europe, and have fast-track opportunities to grow into senior leadership as PERGOLUX scales in this market.
⏰ Time Off and Flexibility — 20–26 vacation days, depending on length of service
🌟 Benefits and Lifestyle
- Team culture with regular events (summer party, Christmas party, after-work gatherings) and retreats
- Modern setup and laptops (Apple or Windows)
- Employee discounts on PERGOLUX products
- Multisport card (paid Multisport membership)
📍 Office Location – Magazynowa 4, 55-040 Bielany Wrocławskie, Building DC3A (Gates 1-6)
