Order Administration Specialist

Employment: Full-time Experience: Mid-Senior level Education: Bachelor's Degree ROLE OVERVIEW As an Order Administration Specialist, you will be part of a team that supports a rapidly growing e-commerce program for customers in the consumer technology industry. Working remotely from the Philippines, you will oversee orders for our client's US distribution operations from interface to the point each order leaves the distribution center, managing the inflow of orders, scheduling their release to the fulfillment floor, and ensuring they ship on time to meet daily cutoff times. This role sits within the Order Administration department and reports to the Order Administration Supervisor. It offers a growth path to Senior Order Administration Specialist and Order Administration Coordinator. KEY RESPONSIBILITIES ● Order Release Management: Manage the B2C orders interfacing to the client from the customer by releasing them efficiently to the distribution floor, ensuring orders ship on time and according to the customer cutoff time. ● Order Type and Routing Knowledge: Develop a strong working knowledge of B2C order types, including routing through customer portals, to optimize release strategies. Order types include ground, priority, rush, promotional, single-line, and multiple-line orders. ● Promotional Program Coordination: Communicate effectively with internal management and internal account management on promotional programs such as product discounts, new SKU releases, and any customer promotion that may drive order volume, and plan release strategies ahead of expected volume spikes. ● Customer Liaison: Communicate with the customer (not consumer) as needed. Serve as liaison between customers and the facility, and promote and maintain positive customer relationships. ● Problem Resolution: Examine customer and order problems, identify root causes, and implement appropriate corrective action to resolve issues and prevent recurrence. ● Quality and Compliance: Assure compliance with ISO 9001 and 14001 standards and adhere to the Code of Conduct. ● Documentation and Administration: Maintain accurate order records and documentation, and perform other job responsibilities as necessary and/or assigned. Requirements ● Bachelor’s degree in Business, Supply Chain, Logistics, or a related field, or equivalent work experience. ● Minimum of two to three (2–3) years of experience in order management, e-commerce fulfillment, or 3PL/logistics operations. ● Hands-on experience with Warehouse Management Systems (WMS) and/or ERP systems (e.g., SAP, Oracle, NetSuite). ● Experience supporting US-based clients, preferably in logistics or supply chain. ● Excellent written and verbal English communication skills, with the confidence to communicate directly with clients. ● Strong organizational skills and attention to detail. ● Ability to prioritize and handle multiple tasks and independent projects simultaneously in a timely and efficient manner. ● Ability to work independently with minimal supervision and to make sound decisions under time pressure. ● Amenable to working the night shift to support US business hours. PREFERRED QUALIFICATIONS ● Experience in a high-volume B2C e-commerce environment, including promotional and peak-season order surges. ● Background in contract manufacturing or supply chain management. ● Familiarity with ISO 9001 and/or ISO 14001 quality and environmental standards. ● Experience in an offshoring or outsourcing setup.
