Role Overview
We are seeking a proactive and detail-oriented Facilities & Procurement Specialist to support the day-to-day operations of our office environments across multiple countries. The ole focuses on execution, coordination, and operational follow-up across facilities, procurement, vendors, and administrative services to ensure a safe, efficient, and well-managed workplace for our teams.
Key Responsibilities:
Office, Facilities & Procurement (End-to-End)
Core Principle:
Owns everything related to physical office environments and the assets that make them
function, from sourcing to day-to-day operation.
Scope of Ownership
Office & Facilities Management
● End-to-end ownership of office spaces, including maintenance, functionality, and
readiness.
● Coordination with landlords, building management, and maintenance vendors.
● Health, safety, and security coordination within office environments.
● Office expansions, moves, renovations, and layout changes.
● Manage day-to-day office administrative services and support staff, including office
attendants/tea boys, ensuring appropriate staffing, task allocation, service standards,
and operational readiness.
Parking Management
● End-to-end ownership of parking allocations (assigned, rotational, visitor).
● Maintenance of parking records and communication with employees.
● Enforcement of parking rules and coordination with building management.
Office Supplies & Consumables
● End-to-end management of office supplies, pantry items, and refreshments.
● Vendor coordination, consumption tracking, and replenishment planning.
Vendor Management
● End-to-end management of facilities-related vendors (cleaning, security, utilities,
maintenance, procurement).
● Service quality monitoring, SLA adherence, issue resolution, and renewals.
Asset Management
● End-to-end lifecycle ownership of office assets (equipment, furniture etc.).
● Procurement, deployment, tracking, reassignment, and disposal of assets.
● Maintenance of accurate asset inventories.
Company Procurement
● Manage end-to-end procurement requirements across the company, including
sourcing, vendor identification, quotation collection, commercial negotiations,
purchase coordination, and delivery follow-up in line with approved budgets and
procurement processes.
Governance & Reporting (Facilities Scope)
● Budget tracking for facilities, and assets categories under his scope.
● Reporting on asset utilization, office costs, vendor performance, and facilities KPIs.
Requirements
● Bachelor’s degree in Facilities Management, Engineering, Business Administration, or a
related field.
● 2+ years of experience in facilities, office, or property management (experience in
Saudi Arabia preferred).
● Strong knowledge of building systems, maintenance best practices, and workplace
safety standards.
● Proven ability to manage vendors, negotiate contracts, and control budgets.
● Excellent organizational, problem-solving, and communication skills.
● Proficiency with MS Office Suite and familiarity with facility management
software/tools.
● Ability to work independently and manage multiple priorities in a fast-paced
environment.
● Fluent in English and Arabic.
