HR & Office Administration Coordinator
A growing aerospace and defense software company in Blue Ash, OH is entering its next phase of growth, modernizing its technology platform and building the internal capabilities needed to scale. The company’s software helps improve the quality, performance, and sustainment of mission-critical assets by connecting inspection and quality data to the physical asset, identifying trends, and strengthening the digital thread across the asset lifecycle.
We’re looking for a hands-on, organized, service-oriented HR & Office Administration Coordinator to own day-to-day HR administration and help keep the Blue Ash office running smoothly. This is a broad, high-trust role for someone who enjoys wearing multiple hats, supporting employees directly, and helping build practical processes in a small-company environment.
Role Details
Location: Blue Ash, OH — in office
Reports to: Chief Financial Officer
Compensation: $55,000–$60,000 base salary, plus benefits
Requirement: U.S. citizenship is required
What You’ll Own
Own day-to-day HR administration across the employee lifecycle, including onboarding, offboarding, employee changes, personnel records, and employee files.
Maintain employee information and HR processes in Paylocity.
Coordinate payroll processing and partner with Finance to help ensure payroll is accurate and timely.
Coordinate benefits administration with third-party benefits consultants and providers, including annual benefits enrollment and employee communications.
Serve as the primary internal point of contact for employee questions related to payroll, benefits, policies, and HR processes.
Support workers’ compensation, leave administration, HR policies, required documentation, and recurring people processes such as annual performance reviews.
Coordinate recruiting activities, including working with external recruiters, scheduling interviews, and supporting offer and onboarding processes.
Office & Administrative Support
Support day-to-day operations of the Blue Ash office and help maintain an organized, professional workplace.
Coordinate office vendors, supplies, equipment, and facilities-related needs.
Manage relationships with relevant administrative vendors and service providers.
Help coordinate company meetings, employee events, and other office activities.
Take ownership of administrative needs that arise in a small, growing organization.
Process Improvement
Help transition HR and administrative responsibilities from shared services to standalone company processes.
Document recurring HR and administrative procedures and maintain organized records.
Identify opportunities to simplify and improve HR and administrative workflows.
Help establish scalable processes that can support the organization as it grows.
What You Bring
2–4 years of experience in HR, People Operations, HR coordination, or a similar role.
Hands-on experience with payroll, benefits administration, onboarding/offboarding, employee records, and general HR administration.
Experience working with an HRIS or payroll platform; Paylocity experience is a plus.
Ability to take responsibility for day-to-day HR activities with limited supervision and know when to escalate more complex matters.
Strong organization, attention to detail, and ability to manage multiple priorities.
Sound judgment and discretion when handling confidential and sensitive employee information.
Strong interpersonal and written communication skills with a service-oriented approach to supporting employees.
Comfort operating in a small-company environment, wearing multiple hats, and helping build processes rather than simply following established ones.
Bachelor’s degree preferred.
SHRM or similar HR certification is a plus, but not required.
